Process automation and integration between systems

We connect management software, document registries, CRM, ERP and external services through APIs and automate repetitive tasks: less duplicate data entry and fewer manual steps, data always aligned and traceable processes.

What process automation means

Automating a process means handing over to software the repetitive steps that today need someone to do them by hand: copying data from one system to another, sending notifications, collecting approvals, generating documents and reports.

Integration between systems is the foundation: management software, document registries, CRM and ERP exchange data through APIs, so each piece of information is entered once and stays aligned everywhere.

We start from the organisation’s real processes (tasks, volumes, systems in use and regulatory constraints) and automate where the benefit is concrete, with incremental releases and agreed performance indicators.

What we automate

The areas where we work most often.

  • Integration between systems

Management software, document registries, CRM and ERP connected through APIs, with no duplicate data entry.

    REST API

  • Workflows

Notifications, approvals and handovers that happen without manual steps.

    n8n · Orchestration

  • Documents and reports

Documents and reports generated automatically, and databases kept up to date without manual steps.

  • Payments and online services

Payment gateways and pagoPA built into digital services, with charges and accounting ready.

How we work

From analysis to full operation: every project starts by mapping real processes and moves forward through incremental releases, with agreed performance indicators.

  1. 01

    Analysis

Mapping of current processes: activities, volumes, systems involved, regulatory constraints and pain points.

  2. 02

    Design

Definition of the target process, the integrations required and the performance indicators.

  3. 03

    Delivery

Development of automations, API integrations and artificial intelligence components, with incremental releases.

  4. 04

    Operation

User training, monitoring, support and ongoing development over time.

Frequently asked questions

Which systems can you integrate?

Management software, document registries, CRM, ERP and external services, including payment gateways, through APIs. The systems in use are reviewed from the first meeting.

Which tools do you use for automation?

REST API integrations and workflow orchestration tools such as n8n, or custom development when the process requires it.

Do we have to replace the systems we already use?

Usually not: the aim is to make the systems already in use work together, connecting them through APIs.

Where do we start?

With an initial meeting to choose the processes to automate, then a pilot project on a sample process, with agreed goals and indicators. Once the results are confirmed, it is extended to other processes and offices.

Who looks after the automations after release?

We do: user training, monitoring, support and evolutionary maintenance are part of the operation phase.

How we start a project

We propose a three-phase path. Each phase ends with a shared review of the results before moving on to the next.

  1. Phase 1

    Discovery meeting

    • Understanding your needs and choosing the processes to automate
    • Gathering volumes, systems in use and regulatory constraints
    • First solution options, custom-built or with Athena
  2. Phase 2

    Pilot project

    • Automation of a sample process
    • Goals and indicators agreed together
    • Joint evaluation of the results
  3. Phase 3

    Roll-out

    • Extension to other processes and departments
    • Integration with the systems in use
    • Staff training and ongoing support
